AI Use and Profiling Notice

Core Factors is committed to transparency in how we use artificial intelligence (AI) and automated processing within our services. This notice explains how we use AI tools such as Evidentra to support personalized coaching, assessment analysis, and user development, in compliance with applicable privacy and data protection laws including the GDPR and California Privacy Rights Act (CPRA).
How We Use AI
Evidentra, our AI coaching assistant, uses natural language processing and machine learning to help you interpret your assessment results, reflect on your communication patterns, and receive personalized suggestions for personal and professional development. This includes goal-setting support, reflective prompts, interpersonal strategy suggestions, and follow-up actions based on your assessment data and inputs.
What Data Is Used
The AI system may use the following categories of data to provide tailored insights:
- Your personality, EQ, or career assessment responses
- Language you input into the AI tool (e.g., goals, challenges, communication questions)
- Context such as your team role, manager relationship, or development focus (if provided)
This data is processed to generate suggestions or insights that are unique to your responses and preferences. The system does not make decisions that have legal or similarly significant effects on users. Instead, it supports reflection, growth, and communication awareness.
Your Rights and Options
Using Evidentra and other AI-enabled tools on our platform is optional. You can choose to activate these tools during onboarding or through your account settings.
You have the right to:
- Decline or disable AI tools like Evidentra at any time
- Request human review of any AI-generated suggestions or insights
- Withdraw your consent to automated profiling, where applicable
Safeguards and Ethics
We prioritize user privacy, fairness, and transparency in the design and operation of our AI features. We use in-house models trained on ethically reviewed data and assessment content. Personal information is never sold or shared with third parties for automated decision-making. Any insights generated remain within your secure account, and our system is designed to reflect developmental coaching principles, not surveillance or evaluation.
Data Retention and Storage
AI-generated content, including your inputs and the responses from Evidentra, are stored as part of your account history to provide continuity in coaching and support. You may delete your conversation history at any time via your account preferences or by contacting us. If you delete your account entirely, your identifiable AI data will be deleted or anonymized in accordance with our retention policy.
International Users
If you are located outside the United States, your data may be transferred to and processed in the U.S. or other jurisdictions where our systems and providers operate. We use appropriate safeguards, such as Standard Contractual Clauses and encryption, to protect personal data in international transfers.
